Delivery & Shipping Policy

At EP Biomass, we are committed to providing reliable, efficient, and transparent delivery services for all biomass products, including wood pellets, briquettes, firewood, and charcoal. This policy outlines our shipping procedures, timelines, and responsibilities.

1. Delivery Coverage

We supply and deliver products across:

Europe (primary market)

International destinations upon request

Delivery can be arranged via:

Road transport (full truck loads)

Sea freight (containers)

Rail transport (for bulk orders, where applicable)

2. Delivery Terms (Incoterms)

We offer flexible delivery terms based on customer requirements:

DDP (Delivered Duty Paid) – Door-to-door delivery including all costs

CIF (Cost, Insurance, Freight) – Delivered to destination port

FOB (Free On Board) – Delivery to port of shipment

EXW (Ex Works) – Collection from our warehouse

The agreed Incoterm will be clearly stated on the proforma invoice and commercial invoice.

3. Order Processing Time

Once payment conditions are fulfilled:

Orders are confirmed and scheduled for production or dispatch

Loading is typically arranged within 3–5 working days

For large or customized orders, processing time may vary depending on volume and packaging requirements.

4. Delivery Timeframes

Estimated delivery times depend on destination and transport method:

Belgium to Poland / EU: 2–5 working days

Western Europe: 2–4 working days

Eastern Europe: 3–6 working days

International shipments (sea freight): 15–35 days depending on destination

Total lead time (processing + transit) is typically 5–10 working days within Europe.

5. Shipment Tracking & Documentation

Once goods are loaded and dispatched, customers will receive:

Delivery confirmation

Transport documents (CMR / Bill of Lading)

Commercial invoice

Packing list

Tracking details (where applicable)

These documents provide full transparency and allow customers to monitor shipment progress.

6. Loading Information

Standard loading capacities:

Wood pellets (15 kg bags):
Approx. 27 metric tons per truck (≈ 26 pallets / 1,800+ bags)

Big bags (1000 kg):
Approx. 26–27 big bags per truck

Bulk loads (loose pellets or briquettes):
Up to 27–30 metric tons depending on transport type

Loading is carried out at certified facilities following industry standards.

7. Customer Collection (EXW / Pickup)

Customers may arrange their own transport and collect goods from our warehouse.

Please note:

Collection is only scheduled after order confirmation and payment

A confirmed loading date and time will be provided

Drivers must present valid identification and order reference

8. Delivery Conditions

Customers are responsible for ensuring:

Correct delivery address and access for trucks

Availability to receive goods at agreed delivery time

Proper unloading equipment (if required)

Any delays caused by the customer may result in additional transport or waiting charges.

9. Delays and Force Majeure

While we strive to meet all delivery timelines, delays may occur due to:

Weather conditions

Traffic or transport disruptions

Customs procedures (for international shipments)

Unforeseen logistics issues

EP Biomass will always communicate proactively and work to minimize any delays.

10. Risk Transfer

Responsibility for goods is transferred according to the agreed Incoterms.

For example:

Under DDP, we are responsible until delivery at your location

Under EXW, responsibility transfers once goods are collected

11. Damaged or Missing Goods

Any issues must be:

Noted on the delivery document (CMR) at time of delivery

Reported within 24 hours
